Contacts
- Account #: Eleo's unique identifier for contacts
- Contact Type:
- Individual - singular person or contact
- Company - type of business, large or small; generally, deals with a specific product
- Nonprofit - a nonprofit organization
- Foundation - institution funded by donations and legacies
- Government - government agency
- School - place of education
- Vendor - person or company offering something for sale
- Contact Status: active, not active, or deceased record
- Solicitor: the person assigned to following up with a contact/donor, which must be listed as an Eleo user (either as a Full User or Additional Solicitor)
- Contact Source: identifying how the contact became familiar with the nonprofit
- Organization: name of business, company, foundation, government, school, nonprofit, etc.
- Summary: a commented note that records information about a contact which remains permanent, not part of the chronological notes on the history tab (such as handicapped, board president 2024, avid golfer and fisherman)
- Contact Links: hyperlinks to social media and websites for contact (Ex. Facebook, Twitter, LinkedIn, etc.)
- Contact Groups: used to name groups of contacts for identification/segmentation purposes (Ex. board members, volunteers, sponsors)
- Contact Lists: a way to create a segmented list of contacts choosing specific information using Eleo's filter tool
- Donor Interests: identified areas within the nonprofit that a donor/volunteer would be interested
- Communication Preferences:
- Formal Salutation: full, formal name of a contact - generally, includes prefixes
- Informal Salutation: conversational name of a contact, which can include nicknames or preferred names
- Other Name: name of contact to be addressed other than formal and informal salutation (such as The Smith Family)
- Anonymous Gifts: hiding the name of the contact on reports in Eleo
- Do Not Contact: A communication preference indicating that users should not reach out to them.
- Temporary Hold: block mailings for a designated period of time
- Do Not Mail: a communication preference indicating that users should not send them snail mail.
- Do Not Email: a communication preference indicating that users should not send them emails.
- Do Not Call: a communication preference indicating that users should not call them.
- Do Not Solicit: a communication preference indicating that users should not ask them for donations or contributions.
- Prospect Information:
- Income Level: ranges of household income for prospect
- Prospect Rating: level of possibility of acquiring donor and donation
- Prospect Target: donation amount to be requested by donor
- Prospect Status: stage of communication/relationship with the donor
- Recognition Level: donation levels created and named for recognizing donor contributions
- Volunteer Information:
- Volunteer: a status signaling if the contact is active or inactive
- Volunteer Interests: areas of interest within the nonprofit for volunteers
- Volunteer Hours: hours for a specific volunteer job that a volunteer completed
- Relationships: link Eleo contacts to each other or record an individual outside of the Eleo system to this contact
- Documents: upload outside documents, pictures, and spreadsheets to this contact
- Google Maps: Eleo has a one-way integration with this navigation tool that can be accessed by clicking on a contact's address in their record
- DonorSearch: Eleo has a one-way integration with this prospect researching tool and wealth screening engine
- History Tab: color coded view of notes, tasks, mailings, events and emails all in chronological order
- Mailing: record of mailings sent from Eleo's Mailings Module (marked as sent), which includes this contact
- Event: record of “invited” or “attending” to event tracked through the Eleo Events Module
- Tasks: chronological record of all calendar tasks associated with this contact
- Note: chronological record of all notes associated with this contact
- Gifts Tab: chronological view of all gifts, pledge payments, and membership payments for this contact with the ability to click on each transaction to view, edit or delete
- Pledge Tab: chronological view of all pledges for the contact with the ability to click each transaction to view, edit or delete
- Memberships Tab: record of memberships this contact is associated with in the Eleo Memberships Module
- Volunteering Tab: record of volunteer interests and volunteer hours for a contact. Volunteer Hours can also be recorded in Eleo's Volunteer Jobs Module
- Payment Accounts Tab: secure record of the credit cards on file for this contact, which is to be used to processing credit card transactions from the individual contact record
Tasks
- Subject: the title of the task
- Task Start Date: when the task should commence and includes a task start time if it is not an all day task
- Task End Date: when a task is set to end and includes a task end time if it is not an all day task
- All Day: a task that takes place the entire day or does not have a specified timeslot
- Repeat: a recurring option for a task to take place more than once (Ex. hourly, daily, weekly, monthly, or yearly)
- Description: details about the task
- Task Type: a customizable category naming the task (Ex. call, meeting, to-do, etc.)
- Priority: level of importance
- Time: hour of the task
- Duration: how long is the task
- Users/Solicitors: who the task is assigned to be completed by
- Location: where it will take place
- Completed: an indicator that the task is no longer an open item
- Reminder: an indicator in Eleo for a user to complete this task
Calendar
- Users/Solicitors: who the task is assigned to be completed by
- Category: the area of the database that the task is associated with
- Task Type: a customizable category naming the task (Ex. call, meeting, to-do, etc.)
- Priority: level of importance
- Completed: an indicator that the task is no longer an open item
- Reminder: an indicator in Eleo for a user to complete this task
Gifts
- Gifts/Credits
- Gift Search:
- Gift #: Eleo's unique identifier for gifts
- Gift Source: any identification of how the gift came to the nonprofit (Ex. Venmo, Facebook, outside fundraiser, etc.)
- Appeal Category: name given to a group of appeals (this would be associated with designated appeals to be placed in the grouping)
- Type: transaction types are the category of donation identified in Eleo (Ex. gift, pledge, membership or soft credit)
- Gifts: generic term for all types of donations
- Payment Type: method of payment (Ex. cash, check, credit card, etc.)
- In Kind: a type of charitable donation that references either a good, service, or expertise (Ex. computers, furniture, finances, administrative support, meeting space, business advice, etc.)
- Gift Amount: total dollar amount of gift/donation
- Fair Market Value: dollar amount which received goods or services
- Net Gift Amount: gift amount minus Fair Market Value
- Deposit Date: date the gift was deposited into a bank account
- Check Number: number on an individual bank account check
- Reference: open text box to add information about the gift
- Send Thank You: print or email an Eleo Thank You Mailing template for gift, which can serve as a receipt too
- Solicitor: staff or volunteer responsible for securing this gift
- Notes: open text box for extended details about the gift
- Campaign: an organized effort to raise a specified amount of money for a particular purpose in a specified period of time
- Fund: a specific place (Ex. bank account) where donations are held for a specific project, program, or general usage for the nonprofit
- Appeal: a request for a donation to a donor in the form of a letter or email
- Appeal Category: name given to a group of appeals (this would be associated with designated appeals to be placed in the grouping)
- Tribute: a gift associated in honor of, in memory of, or in support of an individual, family, animal, etc.
- Event: name of the event (in Eleo) associated with this gift
- Gift Source: any identification of how the gift came to the nonprofit (Ex. Venmo, Facebook, outside fundraiser, etc.)
- Matching Gift: a second donation made by a business or company directly related to the donor
- Soft Credit: the action of crediting a donor who has secured money for the nonprofit through another source (Ex. new donor, other funding, etc.) for the purpose of determining a donor’s standing within the organization
- Gift Search:
- Pledges:
- Pledges: gift amount promised by a donor, to be paid in increments over a specified amount of time
- Pledge #: number given to each pledge in Eleo
- Next Payment Due: scheduled date of next pledge payment
- Pledge Date: actual date the pledge was made
- Total Pledge Amount: total gift promised by donor
- Number of Payments: number of payments it will take to pay gift in full
- Start Date: the established date that the pledge becomes effective as the donor begins donating on that day
- Payment Frequency: how often a payment will be made (Ex: weekly, bi-weekly, monthly, quarterly etc.)
- Scheduled Amount: incremental payment amount; not the pledge total
- Solicitor: person following up on contact/donor, which must be listed as an Eleo user (either as a Full User or Additional Solicitor)
- Pledge Payments: the applied gift to suffice the pledge amount that is due instead of the total
- Payment Type: method of payment (Ex. cash, check, credit card etc.)
- Gift Amount: total dollar amount of gift/donation
- Promised Payments: number of pledge payments still to be paid
- Gift Date: the date the donation was made (Check Date replaces this field for the Payment Type of Check)
- Check Date: the gift date of a donation that was made by check
- Deposit Date: date the donation was deposited into a bank account
- Reference: open text box to add information about the gift
- Send Thank You: print or email an Eleo thank you mailing template for gift and can serve as a receipt
- Notes: open text box for extended details about the gift

- Tributes:
- Tribute: a donation commemorating an individual or animal
- Tribute Name: name of person or animal being commemorated for the tribute
- Tribute Type: the manner in which the tribute is commemorating the individual or animal (Ex. in memory of, in honor of, or in support of etc.)
- Established By: the person or organization that created this tribute to commemorate the individual or animal
- Credit Cards:
- Payment Accounts: debit or credit card types associated with contacts (Ex. Visa, Mastercard, Discover, American Express, etc.)
- Payment Transactions: debit or credit card payments that have been processed through an integrated payment processor
- Recurring Gifts: donations that are setup through an integrated payment processor to repeat in a specific timeframe (Ex. monthly, yearly, etc.)
Events
- Information: a tab containing general items related to the event
- Event Name: title of the event
- Category: name given to the different types of events (Ex. outreach, educational, fundraising, etc.)
- Goal: the monetary goal of the individual event
- Projected Income: the amount of paid and unpaid activity reservations for the event
- Actual Income: the amount of all gifts paid associated with the event.
- Activities: a tab containing a list of activities for this event
- Activity: the action a person takes to participate in the event
- Activity Type: a group of individual activities (Ex. journal ad sizes, raffles, sponsorships, tickets, etc.)
- Fair Market: the price of goods and services received
- Sold: number of activities already purchased
- Amount Sold: the total number of each activity purchased
- Attendance: the participation of a person coming to the event that is associated with an activity
- Track Attendance: the ability to mark if a person attended or not
- Enforce Quantity Limit: restricts the quantity sold
- Track Activity Groupings: used for items like tables, golf foursomes, etc.)
- Groups:
- Group #: label number for a specific group
- Group Type: specific to the event and can include tables, golf foursomes, etc.
- Slots: number of spaces available in each group
- Assigned: number of spaces filled in each group
- Available: number of spaces remaining in each group
- Participants: a tab of individuals or organizations invited to the event or who have given to the event in some way
- Mailings: any correspondence sent surrounding the event
- Tasks: assignments for the event
- Event Expenses:
- Vendor: company or organization providing the service
- Expense Type: the category of goods and services for the event (Ex. food, printed materials, decorations, etc.)
- Payment Type: cash, check, credit card, etc.
- Expense Reference: open text box to give details about the expense listed
- Event Documents: any documents associated with the event
- Reports: easy access to event reporting
Volunteer Jobs
- Search Volunteer Jobs:
- Job Start Date: date the volunteer job commenced
- Job End Date: date the volunteer job concluded
- Job Name: title of the volunteer job
- Description/details: a brief overview of the volunteer job
- Status: whether this volunteer job is active or not
- Default Hours: a default setting for the amount of hours typically worked for this volunteer job
- Volunteer: name of the volunteer or organization
- Hours Worked: the number of hours a volunteer contributed
- Date Worked: the day a volunteer contributed time
Memberships
- Membership Type: name of membership to categorize the different levels
- Status: indicates if the membership is active or inactive
- Amount: cost of the membership
- Fair Market Value: the value of good and services received
- Enrollment Date: the original date a person became a member
- Start Date/Renewal Date: the beginning date of the new or renewed membership
- Expiration Date: when the membership ends
- Given By: optional to put in a name of a different person than member who initiated the membership
- Notes: details related to this specific membership
- Membership Payment: the gift applied for the membership
Grants
- Information: a tab housing the details about the grant
- Grant Name: title of the grant indicated by the awarding organization
- Description: a brief overview about this specific grant
- Grantor: awarding organization
- Status: whether the grant is pending application review, active, not active, or rejected. This field is customizable
- Funder Type: kind of organization funding the grant (Ex. private foundation, government, bank, etc.). This field is customizable
- Solicitor: the person assigned to this grant
- Start Date: when the grant commences
- End Date: when the grant concludes
- Grant Amount: the quantity of money that a government or institution provides to an individual or organization for a specific purpose (Ex. education, improvements, activities, etc.)
- Deadline: the due date to submit the grant application
- Grant Notes: specifics related to the grant
- Milestones: a tab listing short term indicators of progress
- Awards: a tab listing the amount of financial assistance that is provided to an organization which gives support to accomplish a purpose
- Award: name of the award
- Description: brief details about the award for this grant
- Budgeted Amount: amount the nonprofit has budgeted to receive
- Due Date: the day the grant is expected to respond if the grant was awarded
- Actual Amount: the actual funding amount awarded to the nonprofit
- Date Received: date the funds are received by the nonprofit
- Tasks: assignments required for this specific grant
- Expenses: a tab listing the expenditures for this grant
- Vendor: company or organization providing the goods and/or services
- Expense Type: the category of goods and services for the grant
- Actual Amount: cost of the vendor, good or service
- Payment Type: how the payment was made (Ex. cash, check, credit card, etc.)
- Reference: notes recorded related to the expense
- Date Paid: the day the money was paid
- Documents: a tab where files can be uploaded in relation to the grant
- Reports: a selection of reports related to this specific grant
Mailings
- Mailing Dashboard: shows gifts that were entered but have not received a thank you and stats on the number of each mailing type that have either been sent or not
- Gifts Without Thank Yous: donations recorded in Eleo without a thank you mailing sent to donor, which can serve as a receipt too
- Search Previous Mailings: a mailing history of all previous mailings sent or not by your organization through Eleo
- Mailing Integrations: integrated options with email marketing platforms for bulk email mailings
- Mailchimp: Eleo has a one-way integration with this email marketing platform
- Constant Contact: Eleo has a one-way integration with this email marketing platform too
- Email Lists: list of the first names, last names, and email addresses that are sent out of Mailchimp or Constant Contact. You are able to import these into Eleo.
- Campaigns: list of campaigns already created in your email provider. This allows you to have automatic access to pre-made campaigns within Eleo’s drop down in mailings to send an email list over to
- Template: a list of the fields in Eleo used for snail mail mailings or email mailings through our integrations
- Template Type:
- Letter Template: the body of the letter created in Eleo’s mailing system using Eleo data fields throughout the text
- Mail Merge Template: data fields chosen to use on an CSV spreadsheet to send to Microsoft Word. The body of the letter lives in MS Word and the fields from Eleo will be merged into the MS Word document.
- Email Template: data fields chosen to send to Mailchimp or Constant Contact for an email campaign. The body of the letter lives in Mailchimp or Constant Contact. First Name, Last Name, and Email Address are the Eleo fields that can be merged into the email campaign of either integrated platform
- Template Type:
- Mailing Type: categorized mailings
- General Mailing/Appeal: a mailing sent to your donors for various reasons (Ex. newsletters, campaign appeals, etc.)
- Thank You: an acknowledgment sent to a donor specifying details of the gift. This can serve as a receipt too
- Pledge Reminders: details of a pledge amount due that you may send to a donor
- Events: all communications associated with an event that are recorded in Eleo’s Events Module
- Membership Renewals: renewal notices that you may send to the contacts whose memberships are close to expiring or whose renewal periods are almost over
- When creating a mailing:
- Sort By: this will be the order the records are sorted in the downloaded mailing file (Letter, Mail Merge, or Email). This does not apply to Formatted Labels or Address Labels
Reports
- Unique Donor: a contact that has made at least one donation to a nonprofit
- Donor Retention: the process of engaging constituents so they continue to give to your organization year after year
- Donor Retention Percentage: a calculation of the number of returning donors in the most recent year divided by the total number of donors for the year it is being comparing to (Ex. if you have 31 donors who gave a second time this year, and you had 102 donors who contributed to your nonprofit last year, your donor retention rate would be 30%)
- Repeat Donor: supporters of your organization who have made a donation more than once
- Lapsed Donor: a supporter of your organization who has contributed in the past to your nonprofit, but has not within a specific timeframe (Ex. the last two years).

Contact Lists
- All: can narrow the available records in the list depending on the filters
- Any: can broaden the available records in the list depending on the filters
- Dynamic: a list that is always updating
- Static: a set list that can be created in Contact Lists or by using the "Add as Contact List" feature in Eleo's reports
- Add Filter Rule:
- Field Type: categories within a specific section of Eleo
- Contact: all data fields within the contact record (including custom fields)
- Gift: all data fields on the gift screen (including custom fields)
- Membership: all data fields associated with a membership
- Event: all data fields associated with an event used in the Events Module
- Field Name: shows all data fields associated with the Field Type
- Condition: identifies the field (Ex. for text fields: “equal to”, “not equal to”, “empty”, not empty”, “contains”, or "starts with")
- Value: the result of the Filter Type, Field Name, and Condition chosen
- And: for fields with a range (Ex. Gift Date)
- Field Type: categories within a specific section of Eleo
Web Forms
- Web Form: an Eleo Module where users can create forms, manage them, and view online submissions
- Form Types:
- Contact Form: web form used for collecting contact information (ex. volunteer interest)
- Donation Form: web form used for giving a gift
- Event Registration Form: web form used for event registrations that allows participants to register for event activities
- Membership Form: web form used for processing new member applications (sign-ups)
- Format Type:
- Standard: a mobile responsive form that is access through a link on the website
- Embedded: information fields of the form are placed directly into an existing page on the website
- Template Type:
- Standard: a simple form set up
- Floating: a form that displays on the background image
- Side by Side: form information is placed next to the fields for a consolidated view
- Blank: a customizable option that is not templated
- Required Fields: non-optional fields that must be filled in by participants and are indicated with a red asterisk
- Optional Fields: fields that your organization may want to include on a form, but are not required
- Logo and Header Image: upload your organization’s logo and/or branded image to appear at the top of your web form
- Form Header Title and Text: display a personalized name and/or message below your web form header
- Form Footer Title and Text: display a personalized message at the footer of your form
- Form Types:
Default Field Values: set up the pre-selected option for specific fields in the contact record and gift screen being captured on form
Confirmation Page: set up the language that constituents will see following their submission
Confirmation Email: write a personalized receipt to your constituent using the confirmation fields that will automatically populate with their submitted information. This gets automatically sent for one-time submissions and the first in a recurrence. Please contact your integrated payment processor to see if they issue an email for subsequent transactions
Fund: link your Donation, Event Registration, and/or Membership Forms to a specific fund so that the submissions are automatically synced with it
Clone: make a copy of your form
QuickBooks
- QuickBooks Online: Eleo has a one-way integration with this accounting software.
- QuickBooks Settings: Monitor your QuickBooks Online status, manage contact linking, and customize funding settings.
- Contact Linking: Choose whether you want to link to individual contacts in QuickBooks or if you want to link all gifts to one single QuickBooks Customer.
- QB Debit Account: Match to your appropriate Bank Accounts & Other Current Assets
- QB Credit Account: Choose the Products & Services from the list where you want these gifts to be credited
- QuickBooks - Process Transactions - tool used to send Eleo contact & gift data over to QuickBooks
- Exclude gifts that were previously processed: select so that gifts that were previously sent to QB will not be sent again.
- Exclude gifts marked 'Do Not Sync': select if you do not want gifts marked 'Do not sync' in the record to be including when sending data to QuickBooks.
- GL Account: General Ledger Accounts are used by Bookkeepers and Accountants to classify types of financial transactions.
Settings
- User Settings: an area within Settings where users can maintain their personal user information like contact information, a profile picture, and password
- Title: the term used to describe in a few words or less the position held by a staff member. This can describe the level of the person holding the position (depending on the job), or the responsibilities of the employee holding the position
- Site Settings: an area within Settings where options are chosen, which effect the overall use of the database
- Recognition Level Method: creating names of recognition levels of donations for donor recognition
- User Accounts:
- Users: a person who has access to login and use the Eleo database
- Full Users: a person being added to the system who has access to log in
- Additional Solicitors: a person being added to the system in name only for the purposes of the "Solicitor" field
- Administrator: a user role that is given full access to all rights in the system
- User Roles: creating specific limits to use the database by a user and naming each one (Ex. intern, volunteer, board member, etc.)
- Gift Settings:

- EleoPay: the in-house payment processor for our software
- Stripe: Eleo has a one-way integration with this payment processor
- Constant Contact: allows you to set up your one-way integration with Constant Contact
- Mailchimp Settings: allows you to set up your one-way integration with Mailchimp
- QuickBooks Settings: allows you to set up your one-way integration with QuickBooks Online

- Tools: an area within Settings to import contacts and gifts, merge contacts (where the user can choose two specific contact records to combine into a single record), and run the duplicates search (checks for a list of contact records against other similarly named records to identify same information to allow for the merging of the two records into one contact)
