Understanding Calculated Fields
Eleo offers several Standard Calculated Fields that either calculate donation totals using preset date ranges or return key contact information. These fields are available in Contact Lists, many standard reports, and the Report Writer.
Below are the definitions for each field, along with details on how Eleo calculates them when applicable.
Recognition Level
Displays the donor’s qualifying giving level according to their giving history and the parameters defined in Site Settings.
To see each donor’s recognition level and total giving amount, use the Recognition Level Report.
Total Number of Gifts
The total count of gifts recorded for the donor in Eleo.
First Gift Details
These fields show information about a donor’s first recorded gift in Eleo:
- First Gift Number – The Eleo gift number assigned to the donor’s first gift.
- First Gift Date – The date the donor made their first gift.
- First Gift Amount – The amount of the donor’s first gift.
Last Gift Details
These fields display information about a donor’s most recent recorded gift in Eleo:
- Last Gift Number – The Eleo gift number assigned to the donor’s most recent gift.
- Last Gift Date – The date the donor made their most recent gift.
- Last Gift Amount – The amount of the donor’s most recent gift.
Gift Summary Details
These fields provide an overview of a donor’s giving history:
- Largest Gift Amount – The highest single gift recorded for the donor.
- Average Gift Amount – The average amount of all gifts made by the donor.
- Lifetime Total Gift Amount – The total value of all gifts the donor has made in Eleo.
Yearly Gift Totals
These fields provide donation totals for a donor based on different year or YTD ranges:
- Year-to-Date (YTD) Gift Amount – Totals all gifts from the start of your organization’s YTD period through today.
- YTD start date is defined in Site Settings > General Defaults.
Example: If your YTD starts on July 1, the YTD Gift Amount includes all gifts from July 1 → today.
Prior Year-to-Date (Prior YTD) Gift Amount – Totals all gifts from the same YTD date range, but for the previous year.
- Example: If your YTD starts on July 1, Prior YTD includes July 1 of last year → June 30 of this year.
- Prior Year Gift Amount – Totals all gifts made in the previous calendar year.
- Example: Prior Year includes January 1 → December 31 of last calendar year.
Additional Notes:
- Eleo does not include a “Current Year” Gift Amount field (Jan 1 → today).
- If your YTD start date is January 1, Prior YTD Gift Amount and Prior Year Gift Amount will return the same value.
