Eleo Direct: Email Sending Limits & Reputation Guidelines
Everything you need to know about sending emails individually or in bulk directly from Eleo Donor Management Software using Eleo Direct.
Eleo Direct is a mass email mailing platform built directly into Eleo Donor Management software. To maintain our high sender reputation, Administrator-level users must request activation by contacting Support@EleoOnline.com.
Getting Started with Eleo Direct
Eleo Direct allows you to send beautifully formatted emails directly from within your Eleo Donor Management account. To get started:
- Request Activation: An Administrator on your Eleo account must send a request to Support@EleoOnline.com to have Eleo Direct enabled.
- Verify Your Sending Domain: Before sending emails, your organization's domain will need to be verified to ensure deliverability and protect your reputation. This is the Reply To field in Eleo.
- Start Sending: Once activated and verified, you can immediately begin creating and sending emails.
Why do I need to request activation? To protect all Eleo users, we carefully manage our shared sending infrastructure. Requiring Administrator-level activation ensures that only authorized users send email from your organization, keeping our sender reputation and your deliverability high.
Monthly Email Limits
Monthly limits are designed to give nonprofits ample room for regular constituent communications while maintaining deliverability standards.
| Tier | Monthly Limit | Cost |
| All Eleo Accounts | Up to 2,500 emails | FREE |
| Higher Volumes | Coming soon | Pricing TBA |
- Monthly limits reset on the 1st of each calendar month.
- Email delivery status is tracked within your Eleo account so you can monitor if it was open, delivered, or processed.
- When your monthly limit is reached, additional sends will be paused until the following month.
Sender Reputation Management
Your email deliverability depends on your reputation as a sender. Eleo Direct monitors your delivery metrics to ensure the highest possible inbox placement for all users on our platform.
How Reputation is Calculated
Your reputation score is based on the ratio of positive signals (delivered, opened, clicked) to negative signals (bounced, errors, unsubscribes) across your recent email activity.
| Positive Signals | Negative Signals |
| Successfully delivered | Hard bounces |
| Opened by recipient | Delivery errors |
| Links clicked | Unsubscribes |

Tip: Regularly clean your contact lists by removing invalid email addresses and honoring unsubscribe requests. This is the single most effective way to maintain a strong sender reputation and ensure your emails reach inboxes.
Link Reputation Best Practices
The links included in your emails can directly affect inbox placement. Public URL shorteners and generic redirect links (such as Bitly or TinyURL) are often associated with spam and phishing activity, which may cause mailbox providers to flag or filter your emails.
For the best deliverability, always use:
- Direct links to your organization’s website whenever possible
- Branded links that clearly match your nonprofit’s domain
- HTTPS-secured links only
- No more than 1 to 2 tracked links in a single email when possible
Avoid:
- Public short-link services
- Multiple chained redirects
- Links that route through unrelated third-party domains
- Mismatched visible text vs destination URLs
