🧾 Daily Eleo Donor Management Software Checklist

This checklist will help your nonprofit maximize Eleo, stay organized, and increase fundraising success.

💸 1. Check for New Donations

• Review each of your Web Form’s Dashboards for new gifts

• Review Recurring Gift Transactions to process subsequent donations

•Tag any major gifts for special follow-up using a custom field and the task manager

•Confirm automatic thank you email messages were sent

User Tip: Include yourself and two other email addresses from your nonprofit on Web Form Confirmation Emails to ensure you receive them when someone donates

📅 2. Review Tasks and Calendar

• Look at the task manager to ensure you do not fall behind on to-dos

• Confirm or reschedule upcoming calls, meetings, and follow-ups

• Review any Board Member, staff, volunteer, or intern responsibilities and assignments for today

🧑‍💼 3. Update Donor Records

• Log any new interactions (e.g., calls, emails, meetings, etc.)

• Add notes with updates to donor profiles

• Ensure contact details and communication preferences are current

💌 4. Send Personalized Outreach

• Identify 3–5 donors to reach out to today

• Use the Mailing Templates to craft personalized messages

• Log each interaction in the donor record

📊 5. Monitor Campaign Performance

• Check progress toward current campaign goals

• Review donor engagement metrics (e.g., opens, clicks, bounces, etc.)

• Identify any overdue pledges, expired memberships, and lapsed donors if applicable

📈 6. Run Key Reports

• Pull a daily donations summary using the Gifts by Date Report filtered for today’s date

• Review the Donor Retention Reports (e.g., LYBUNT/SYBUNT) to plan proactive outreach

• Share snapshots of data with relevant team members if needed

🧹 7. Process Data Imports or Cleanups

• Monitor any data pending import (e.g., list of check gifts received)

• Conduct database cleanup using the Duplicates Search and Merge Contacts features

• Flag contact records needing review using a Contact Group or custom field

📥 8. Review and Respond to Inquiries

• Check for new contact form submissions (e.g., Contact Us, Volunteer Sign-up)

• Route any questions to the appropriate personnel

• Document the communication trail

🔌 9. Manage Modules and Integrations

• Ensure the Events, Volunteer Jobs, Memberships, and Grants Modules are up to date

• Adjust permissions on user access using roles when needed

• Set repeat tasks to review active users monthly for security

•User Tip: Inactivate users instead of deleting them to keep the User Activity Log accurate
