Post-Conversion Checklist (for Eleo 1.0 Converted Users Only)
Welcome to Eleo 2.0 – Now What?
Woo-hoo! Your database has been successfully converted. To make sure you’re set up smoothly, review the information below and complete the items in the “To Do” lists.
Settings
What you need to know:
All users transferred to Eleo 2.0, but most user roles did not carry over. Administrators remained as the Administrators role and active, while all other roles became the Converted Users role and inactive. Usernames are now the email addresses tied to each user account.
To Do:
☐ Adjust user roles for staff as needed
☐ Activate any inactive users and assign correct permissions
☐ Add new users and solicitors if applicable
Resources:
Web Forms
What you need to know:
Web Forms were upgraded, so all forms will need to be recreated. Any existing QR codes linking to old forms will need to be updated. You can reference the 1.0 forms in view-only mode if needed.
To Do:
☐ Recreate all Web Forms in Eleo 2.0
☐ Update any QR codes that link to previous forms
Gifts
What you need to know:
Matching gifts did not transfer, but can be added back in Eleo 2.0.
To Do:
☐ Add Matching Gifts
Contacts
What you need to know:
In Eleo 1.0, “Deceased” was a checkbox. In Eleo 2.0, it is now a Contact Status. All contacts marked as deceased in 1.0 have been converted to a “Deceased” status in 2.0.
For couples who shared one record (e.g., “Jack and Sally Smith”), this may result in the entire record being marked as deceased even if only one person has passed.
To Do:
☐ Review all contacts with a “Deceased” status and confirm accuracy. If only one individual in a shared record is deceased:
- Decide whose name to keep on the original record (this record holds the history of gifts, communications, etc.)
- Update the contact status to reflect the living individual if needed
- Create a new contact record for the deceased or surviving individual
- Use the Relationship section to link the two records, and add a note explaining who passed and which record was newly created
Mailings
What you need to know:
You can now add logos, images, and signatures to your mailings for a polished, branded look. Review your transferred letter templates and update them with these new options.
To Do:
☐ Update your letter templates with logo/image/signature files
Reports
What you need to know:
Saved and Favorite Reports did not transfer to Eleo 2.0 and will need to be re-added.
To Do:
☐ Re-create Saved Reports
☐ Mark Favorite Reports again for quick access
Contact Lists
What you need to know:
Only Static Contact Lists transferred to your new Eleo 2.0 database. Dynamic lists did not transfer and will need to be re-created.
To Do:
☐ Re-create Dynamic Contact Lists
Integrations
What you need to know:
Set up the integrations your organization uses in your new database. Use the help guides linked below for step-by-step instructions.
To Do:
☐ Reconnect the integrations you use:
- DonorSearch
- QuickBooks
- Payment Processor (Stripe or EleoPay)
- MailChimp
- Constant Contact
Task and Calendar
What you need to know:
Tasks and Calendar items did not transfer from Eleo 1.0 to Eleo 2.0. Add back any items you still need.
To Do:

Transferred Data
What you need to know:
Your Eleo 1.0 database will remain available in View Only mode for the time being. Use the Data Transfer Review Checklist to confirm everything carried over correctly into Eleo 2.0.
